This Privacy Policy for itsallauto.com Limited (“we,” “us,” or “our”) describes how we collect, store, use, and share (“process”) information when you use our eWOF and related services (“Services”), including but not limited to utilizing our digital WOF assessment tools, submitting inquiries through our platform, providing feedback or reviews, and engaging with us via social media or other communication channels.

1. WHAT INFORMATION DO WE COLLECT?

We collect different types of information depending on how you interact with us and our Services. This includes:

Company Information

We collect and store details about businesses using our Services, including:

  • Company name
  • Company address
  • Company Phone number
  • Company Email address
  • Information about eWOF Vehicle Inspectors “Users” (including name, email address)
  • NZTA required details (MS number and Vehicle Inspector ID number)

This information is used to verify business operations, facilitate transactions, provide support, and ensure compliance with NZTA regulatory requirements.

Customer Information (WOF Recipients)

When a customer has their vehicle inspected using our system, we collect:

  • Customer name
  • Contact details (phone number, email, and/or address where required for service)
  • Inspection history

We only use this information for processing eWOF inspections, generating reports, and improving service efficiency. We do not use customer information for marketing purposes.

Vehicle Information

For each WOF inspection, we may collect:

  • Vehicle registration details
  • Make, model, and year of the vehicle, plus other vehicle information required by NZTA
  • Inspection results, including pass/fail status and recommendations
  • Photos taken during the inspection, including images documenting WOF failures or additional comments

These photos and vehicle details may be used to:

  • Document inspection results for compliance and record-keeping
  • Assist vehicle owners with necessary repairs
  • Help order the correct parts when necessary
  • WOF Inspectors to obtain additional professional assessments on the WOF issue

2. HOW DO WE PROCESS YOUR INFORMATION?

We process personal, company, and vehicle information to:

  • Provide, improve, and administer our eWOF and other related Services
  • Maintain accurate customer and business records
  • Facilitate communication related to eWOF services
  • Prevent fraud and unauthorized access
  • Comply with applicable laws and regulations
  • Ensure compliance with New Zealand’s Privacy Act 2020, including adherence to the 13 Information Privacy Principles (IPPs)

We do not sell, rent, or share customer data for marketing purposes.


3. WHEN AND WITH WHOM DO WE SHARE YOUR INFORMATION?

We may share your personal, company, and vehicle information in the following situations:

  • With Service Providers: We work with trusted third-party providers to assist with payment processing, data storage, and analytics.
  • With Legal Authorities: If required by law or to protect our rights, we may disclose information to law enforcement or regulatory bodies.
  • With Business Partners: If you use third-party integrations or related services connected to our platform, we may share necessary details to enable those services.

  • International Transfers: If personal, company, or vehicle information is transferred outside New Zealand, we ensure compliance with IPP 12 by implementing safeguards to protect the data.

Under the Privacy Act 2020, if a privacy breach occurs that is likely to cause serious harm, we will notify affected individuals and the Office of the Privacy Commissioner as required. We take all necessary steps to mitigate potential damage and inform users of remedial actions.


5. HOW LONG DO WE KEEP YOUR INFORMATION?

We retain personal, company, and vehicle information for as long as necessary to fulfill our business and legal obligations. This includes:

  • Keeping business and customer records for regulatory compliance
  • Storing vehicle inspection records for required retention periods
  • Deleting or anonymizing information when it is no longer needed

If data cannot be immediately deleted due to backup policies, we securely store and isolate it until deletion is possible. 


6. DATA ACCURACY AND CORRECTIONS

We take reasonable steps to ensure the accuracy of the personal, company, and vehicle information we collect.

7. UNIQUE IDENTIFIERS. DEVICE INFORMATION, AND ONLINE TRACKING

We may assign unique identifiers to users in accordance with IPP 13 (Unique Identifiers) of the Privacy Act 2020. These identifiers are only used where necessary for our business operations and are not shared with unauthorized parties.

Additionally, we may collect information such as cookies, IP addresses, browser data, device information, and operating system type when you interact with our Services. This data helps us analyze site performance, improve user experience, and ensure security. Cookies may store user preferences, session information, and analytics tracking. 9. CONTROLS FOR DO-NOT-TRACK FEATURES

Some browsers offer Do-Not-Track (DNT) settings that allow you to control online tracking. At this time, we do not respond to DNT signals due to the lack of a consistent industry standard.
